1. Will your old supplies work for your new machine?
Determining whether your old supplies will work on your new machine depends on the make and model of the new copier. For the most part, you likely won’t be able to use the leftover supplies from the old copier.
While not being able to use unopened supplies may be an inconvenience of changing machines, the pros of changing machines likely outweigh this.
Double-check with your vendor or business consultant if your old supplies can be used or not.
2. What do I do with old supplies?
Ask your copier vendor to take back unopened supplies and be sure to properly recycle used supplies, such as toner cartridges.
Take advantage of Xerox’s Green World Alliance Program. This program allows customers to order free shipping boxes, package up old cartridges with a pre-paid shipping label, then the box gets picked up.
This service is available for Xerox customers but also accepts HP, Brother, and Lexmark toner cartridges.
3. How do I ensure my hard drive is secure when my old machine gets picked up?
According to Xerox, “Digital information is transmitted to a printing device through a computer, over a network, by scanning, or through a telephone line. Most of the time this data is stored on a hard disk drive so the device can print quickly and multitask— provide more than one function (print/copy/ scan) at the same time.”
When changing machines, it’s important to feel confident this data is protected.
First, check with your vendor or manufacturer to find out if your model has hard disk drives. Not all copiers have hard disk drives. They are not at risk.
Some copiers/printers have hard disk drives but do not use the hard disk drive for the copying function. These are not at risk either.
Copiers/printers that do have hard disk drives for copying should have an “image overwrite” feature that destroys the copied image immediately.
For Xerox, that function should be built-in or installed via a security kit, ensuring your documents and data are secure.
If this solution does not exist for the product, it is at risk.
Before the machine gets removed, most vendors will allow you to purchase the hard drive. If you’re worried, this is the most secure way to ensure the hard drive is protected.
