Quick Answer: How Do You Replace the Transfer Kit?

To replace the transfer kit on a Xerox VersaLink C400 or C405, first replace the second bias transfer roll (BTR) on the rear door. Next, replace the roll assembly in the paper tray. Finally, open the printer covers, remove the waste toner container, and replace the transfer belt. Reinstall the waste toner container and close the covers in the correct order.

What Is a Transfer Kit?

A transfer kit contains replaceable printer components that help transfer toner onto paper and support reliable printing.

In Matthew's demonstration, the replacement procedure includes three parts:

  • Second bias transfer roll (BTR):Helps transfer the toner image onto the paper.
  • Paper tray roll assembly:Helps separate and feed sheets from the paper tray.
  • Transfer belt assembly:Helps move the toner image through the printer's imaging process.

These components perform different jobs, but all experience wear through regular printing.

When Should You Replace the Transfer Kit?

Replace the transfer kit when your Xerox VersaLink C400 or C405 shows a maintenance alert or a technician confirms a component needs replacing.

Worn transfer parts can affect print quality, and worn feed rollers can cause paper jams or uneven feeding. These issues may have other causes, so troubleshoot first if the printer hasn't requested maintenance.

How Do You Replace the Transfer Kit on a Xerox VersaLink C400 or C405?

The procedure involves three main parts. Matthew starts with the second BTR, replaces the paper tray roll assembly, and finishes with the transfer belt.

Part 1: Replace the Second Bias Transfer Roll (BTR)

Step 1: Open the Rear Cover

Press down on the latch to open the printer's rear cover and let it lower into position.

The second BTR is located directly on the rear cover.

Step 2: Remove the Old Second BTR

Locate the four orange tabs holding the BTR in place.

Place your fingers on the tabs, squeeze them together, and pull the assembly straight up and off the rear door.

Step 3: Align the New Second BTR

Before installing the replacement, notice that the orange tabs are slightly offset.

The tabs facing toward the printer are closer together, while the tabs facing away from the printer are farther apart.

You'll also notice a small silver electrical contact on the back of the BTR. This should align with the matching silver contact spring on the printer.

These features help you position the replacement correctly.

Step 4: Install the New Second BTR

Position the replacement inside its slot and push straight down until all four orange tabs latch securely.

Once the BTR is installed, close the rear cover.

Part 2: Replace the Paper Tray Roll Assembly

Step 5: Remove the Paper Tray

Pull the paper tray all the way out of the printer, moving past its normal stops so you can remove it completely.

The roll assembly is located toward the back of the tray.

Step 6: Remove the Old Roll Assembly

Locate the white release tab next to the black roll assembly.

Press the white tab, lift the roll assembly upward, and slide it to the right.

The assembly should then come free from the tray.

Step 7: Install the New Roll Assembly

Place the replacement into the same slots.

Slide it to the left, then rotate the assembly downward into the tray.

Give it a firm push until it moves past the white latch and sits securely in place.

Step 8: Reinstall the Paper Tray

Slide the paper tray back into the printer to complete the second part of the transfer kit replacement.

Part 3: Replace the Transfer Belt Assembly

Step 9: Open the Printer Covers

To access the transfer belt, open the right-side cover, top cover, and rear cover.

These covers provide the space needed to remove the transfer belt assembly.

Step 10: Remove the Waste Toner Container

Locate the waste toner container inside the right-side cover.

Unlock its latch and pull the container straight out.

Set it aside carefully while you replace the transfer belt.

Step 11: Remove the Old Transfer Belt

Inside the printer, locate the two handles marked with orange square stickers.

Place your fingers inside the handles and pull the transfer belt assembly straight out of the printer.

Keep the assembly steady as you remove it.

Step 12: Align the New Transfer Belt

Before installing the replacement, look for the two orange stickers with black arrows inside the printer.

These arrows indicate where the transfer belt's small metal bushings need to fit into guides on the printer frame.

Hold the new transfer belt by its handles and position the bushings in the corresponding guides.

Step 13: Install the New Transfer Belt

Once the metal bushings are aligned, gently guide the transfer belt inward.

Allow the assembly to settle naturally into position, gently adjusting it as needed.

Continue sliding it inward until it's fully seated, then give it a final push until you hear it lock into place toward the rear.

Step 14: Reinstall the Waste Toner Container

Take the waste toner container you removed earlier and slide it back into position.

Press firmly until it's fully seated.

Make sure both the front and rear latches are flush, then secure the locking handle.

Step 15: Close the Covers in the Correct Order

Once everything is installed, close the covers in this order:

  1. Rear cover
  2. Top cover
  3. Right-side cover

The right-side cover overlaps the top cover, so close the top cover first to ensure it shuts properly.

Your physical transfer kit replacement is now complete.

Common Transfer Kit Replacement Mistakes to Avoid

Installing the Second BTR Backward

Use the offset orange tabs and silver electrical contact to confirm the correct orientation before pushing the replacement into place.

Installing the Paper Tray Roll Assembly Incorrectly

The old roll slides to the right during removal, while the replacement slides to the left before you rotate it downward.

Not Aligning the Transfer Belt Guides

The metal bushings on the transfer belt must line up with the guides marked by orange stickers. Check the alignment if the assembly doesn't slide in smoothly.

Not Fully Seating the Waste Toner Container

Make sure both the front and rear latches are flush before securing the locking handle.

Closing the Covers in the Wrong Order

Always close the rear cover first, the top cover second, and the right-side cover last.

Quick Recap: Replacing the Transfer Kit

Replacing the transfer kit on a Xerox VersaLink C400 or C405 involves three main components.

  • First, replace the second BTR on the rear door, making sure all four orange tabs latch securely.
  • Next, remove the paper tray and replace its roll assembly, securing it behind the white latch.
  • Finally, replace the transfer belt by aligning its metal bushings with the printer's guides. Reinstall the waste toner container and close the covers in the correct order.
